Essentially, Wedding Coordinators take the wedding plans that have been made and
makes sure they’re executed seamlessly, allowing the couple to relax and enjoy their
special day without worrying about logistics.
Day of Wedding Coordinator
On-the-Day Coordination:
- Manage the timeline on the wedding day, ensuring things start and end on time.
- Oversee vendors: making sure they arrive, set up, and deliver their services as expected.
- Oversees the setup of the ceremony and reception venues, (DOES NOT INCLUDE DECOR SETUP) (SEE NEXT PACKAGE),
- Handles seating arrangements, and any last-minute changes.
- Direct the wedding party and family members, keeping them informed of what needs to happen and when (such as when to walk down the aisle, when speeches are, etc.).
- Serve as the main point of contact for vendors, answering questions, and solving any issues that arise.
Problem-Solving:
- Handle any last-minute issues or emergencies that come up during the day, allowing the couple and their families to enjoy the celebration without stress.
- Deal with any small details that may have been forgotten or overlooked, such as making sure the cake cutting happens on time or that the wedding rings are in place.
Guest Coordination:
- Ensure guests know where to go, answer questions, and help with any special needs.
- Help manage guest seating and assist with special moments like greeting guests or organizing group photos.
- Calling tables, Coordinating Entrances, bouquet toss / dances / games / or any other items out of the realm that they were hired for.
Post-Ceremony Wrap-Up:
- After the wedding, they’ll typically oversee the clean-up, ensuring that all rented items are returned, and the venue is cleared out.

4 Week Wedding Planner and Coordinator
Pre-Wedding Communication: PLUS Day of Coordinator with Decoration Set up
- They’ll meet with the couple (usually a few weeks before the wedding) to go over the wedding timeline, any final details, and the couple’s vision.
- They will conduct a site visit to ensure eyes are on the location and there are no surprises.
- Coordinate and confirm details with all vendors (photographers, caterers, florists, musicians, etc.) to make sure everyone is on the same page.
- Help finalize the timeline and floorplan of the day, ensuring that all events (ceremony, cocktail hour, dinner, speeches, etc.) are properly scheduled.
